This page describes PayWay Virtual Terminal.

With PayWay Virtual Terminal your staff can quickly and easily process credit card payments.

You can use PayWay Virtual Terminal for:

  • purchases, invoice or bill payments
  • mail order and telephone orders
  • inbound or outbound call centre.

You can access PayWay Virtual Terminal from a desktop, smartphone or tablet giving you the convenience of processing transactions from various locations.

How it works

  1. Your staff sign in to the PayWay website using desktop, smartphone or tablet
  2. Key in credit card details and reference number to process the payment
  3. In real-time, receive a receipt number and send a receipt email
  4. Download your settlement reports from the PayWay portal.

Payments

Your customers can pay using Mastercard®, Visa, Unionpay®, American Express®, Diners Club and JCB.

To process a payment:

  1. Sign in to PayWay
  2. Click Payment in the Transactions menu
  3. Enter a customer reference number, cardholder details and amount
  4. If you have more than one merchant facility, choose the merchant facility to use
  5. Step through the wizard to process the payment and receive a receipt number
  6. If your customer requires a receipt email, enter their email address and click Send.
For telephone orders, enter a card verification number (CVN, CVV and CVC) to reduce chargeback risk.

Surcharges

PayWay can automatically calculate a surcharge based on the type of card used. You must confirm the amount of the surcharge with the customer before processing the payment.

Custom fields

You can define up to four custom fields to capture additional information about the payment.

To set up custom fields:

  1. Sign in to PayWay
  2. Click Settings
  3. Click Custom Fields
  4. Click Add to add a custom field and follow the wizard.

Pre-authorisations

You can reserve funds on a credit card using a pre-authorisation transaction.

Follow the steps for processing a payment, but select Pre-Auth.

To capture (or checkout) a pre-authorisation:

  1. Sign in to PayWay
  2. Click Open Pre-Auths in the Transactions menu
  3. Select the pre-authorisation and click Capture
  4. Step through the wizard to process the payment and receive a receipt number
  5. If your customer requires a receipt email, enter their email address and click Send.

Refunds

To process a refund:

  1. Sign in to PayWay
  2. Click Search and Refund in the Transactions menu
  3. Search for the payment you wish to refund by customer reference or credit card number
  4. Follow the wizard and enter the amount of the refund.
PayWay only allows refunds back to the original credit card used. The amount of the refund can not exceed the initial payment.

To allow a user to perform refunds:

  1. Sign in to PayWay
  2. Click Settings
  3. Click Users
  4. Click Create New User
  5. Enter user details and tick Refund Transactions
  6. Click Save.

Settlement

We credit your settlement account on the same day for Mastercard, Visa and UnionPay payments processed before 6pm AEST.

If you choose to impose credit card surcharges, we will make a separate credit for the aggregate amount of surcharges collected for Mastercard, Visa and UnionPay.

Settlement for other card types depends on your arrangement with those schemes.
